Position Overview:
We are seeking a highly organized and personable Recruiting and Onboarding Coordinator to manage and enhance the recruiting coordination and new hire onboarding processes for our fast-paced startup. The ideal candidate will be an experienced professional with a strong background in recruiting coordination, excellent communication skills, and a passion for providing a seamless and positive experience for every candidate, from initial contact through their first day with the company.
In this role, you will be integral in creating a world-class experience for candidates while ensuring smooth and efficient operations across all stages of the hiring process. You’ll partner closely with the recruiting team, hiring managers, and HR to streamline onboarding, build relationships with candidates, and set the tone for a positive and engaging work environment.

Responsibilities:

  • Recruiting Coordination:
  • Manage the end-to-end candidate interview process, including scheduling interviews, coordinating with hiring managers, and ensuring a seamless flow of communication.
  • Serve as the primary point of contact for candidates, answering inquiries, providing interview details, and ensuring a smooth and positive experience throughout the hiring process.
  • Collaborate with recruiters and hiring managers to ensure alignment on candidate profiles, interview feedback, and next steps.
  • Track and maintain candidate status within the Applicant Tracking System (ATS), ensuring all details are up-to-date and accurately reflect the candidate journey.
  • Facilitate candidate assessments, technical evaluations, and other pre-hire processes as needed.
  • Onboarding & New Hire Experience:
  • Oversee the entire new hire onboarding process, from offer acceptance to the first day of work, ensuring a seamless and engaging transition into the company.
  • Coordinate pre-boarding activities such as equipment setup, account creation, and initial training materials.
  • Work with HR to ensure all necessary documentation (e.g., I-9, benefits enrollment, security clearance forms) is completed efficiently and accurately.
  • Plan and execute an engaging, informative, and welcoming new hire orientation, introducing new employees to company culture, policies, and the team.
  • Continuously improve onboarding processes, gather feedback from new hires, and implement changes to enhance the experience.

Qualifications

  • 3+ years of experience in recruiting coordination, HR, or talent management, ideally within a startup or high-growth environment.
  • Proven experience with candidate experience management and new hire onboarding processes, preferably within a technical or defense-related industry.
  • Strong organizational skills and ability to manage multiple tasks and priorities in a fast-paced, dynamic environment.
  • Exceptional communication and interpersonal skills, with the ability to engage and build rapport with candidates, hiring managers, and cross-functional teams.
  • Familiarity with Applicant Tracking Systems (ATS) such as Greenhouse, Lever, or iCIMS.
  • Knowledge of recruitment best practices, including pre-hire assessments, candidate engagement, and diversity initiatives.
  • Comfort working in a technology-driven environment with a solid understanding of autonomous systems or defense technologies (preferred but not required).
  • Strong attention to detail, especially when managing sensitive documentation and confidential information.
  • Ability to work both independently and collaboratively in a remote-first or hybrid environment.
